GDPR:

By signing the registration form you are confirming that you have read this document and you acknowledge and accept the document.

As private tutors, on the initial registration form, we ask for only essential information about the parent and child. Additional information may be provided by yourself if you so wish.

  • Child’s name, date of birth, school and year group, areas of concern, any additional learning needs: to assist with session preparation, areas your child finds tricky.

  • Email/Social media links: Send you the Zoom link for online tuition, communicate feedback after each weekly session, Q&A between parent & tutor, send & receive number fun/word challenges, reminders if your child is late to our pre-arranged Zoom session.

  • Phone Number: This could be used for text session reminders/phone calls.

  • Address: To post/hand deliver preparation SATS packs for your child, to post/hand deliver any certificates after Masterclasses/Superstar SATS courses if these are booked with Stepping Stone Maths.

  • Recording of sessions: these would be shared with the child’s parents/the tutor/Nicola Colman of Stepping Stone Maths. These are for learning purposes. If you enrol your child on small group classes these would be shared with the parents of that small group of parents only.

  • Sharing of session information on social media: To welcome a new tutee to the Stepping Stone Maths family, to celebrate successes at school/Stepping Stone Maths. This helps to build confidence.

  • Parents frequently share their child’s progress with the tutor (parent’s evenings, end of year school reports, assessment information etc). This is saved in your child’s session planning for reference.

  • We do not share any personal information with third parties. However, we will share

information with third parties only in the case of a safeguarding issue or if the parent has given permission or specifically asked that information be shared (e.g. with a school.) Information may be shared with a professional accountant.

  • Personal data is stored as both paper copies and electronic copies with Nicola Colman at Stepping Stone Maths and your child’s tutor. Paper copies are stored in a locked house.

  • As parents you have full access to your personal data that is held by Stepping Stone Maths. You are able to change, update or remove this information as you feel necessary. Please organise a mutually convenient time with your tutor if you require access to this.

  • Should your child cease tuition with Stepping Stone Maths: Information that can be deleted when a child finishes his or her tutoring sessions, on the request of a parent are SMS or other messages, contact numbers stored on a mobile phone or personal device.  The following information must be kept for an extended period: anything relating to safeguarding, accidents or incidents must by law be held until the child reaches 21 years and three months of age. Also, contracts, consent forms, information sheets, invoices and payment information must be held for seven years. All other information can be routinely deleted or destroyed at the request of the parent once the child is no longer a tutee at Stepping Stone Maths. Many children return for tuition at a later date so it is extremely useful to keep paper records of sessions taught.

 

 

 

Safeguarding:

  • Safe to work with young children and adults: All tutors who work alongside Stepping Stone Maths have a DBS certificate and third party references have been sought as part of the ‘safer recruitment’ guidelines. It is your tutor’s responsibility to ensure their DBS is kept up to date.

  • Referring and reporting concerns of abuse or welfare: Every local authority in England has a safeguarding lead and this is the person we would contact if there are any safeguarding concerns about a tutee. If there are concerns that the child is in immediate danger, the police would be called.

  • If you are concerned about the conduct of a tutor working alongside Stepping Stone Maths please contact Nicola in the first instance to discuss.

  • All Stepping Stone Maths sessions take place online via Zoom. In session one we ask a parent is present with the child to assist should there be any technical difficulties. This also allows you to meet your child’s tutor and ask any questions, sitting with your child in this session also helps promote confidence for the child. Your child should be appropriately dressed for all online sessions (not nightwear). A parent/adult should be within earshot throughout the session post session one.

  • Zoom links to private 1:1 sessions will be emailed to the parent. A private passcode is attached to this. No other person beyond parent/tutee/tutor will be present for the session, nor have access to it unless this is passed on to a family member/another adult linked to the tutee (eg A grandparent may be present for a session if the parent is busy).

  • Zoom links to small group sessions will be emailed to all attendees. A private passcode is attached to this.   • Stepping Stone Maths has a responsibility to store and share personal information about

students correctly, please refer to the GDPR policy. Consent from parents will be sought should we wish to publish images/videos of any student. These would be used on social media as congratulations posts or to illustrate learning techniques.

  • On occasions, sessions are recorded for learning purposes.  These would only be shared with the child’s parents/the tutor/Nicola Colman of Stepping Stone Maths. If you enrol your child on small group classes these would be shared with the parents of that small group of parents only.

  • Please note, if your tutor teaches a child 16-18 years of age, communications will remain between tutor and parent. Your child’s tutor may copy in your child for homework purposes only. All questions and communications will remain between the tutor and parent.

Liabilities

While Stepping Stone Maths is committed to providing high-quality education and support to students preparing for their school examinations, we explicitly state that we do not guarantee or warrant any specific academic outcomes or results. The academic performance of a student in their examinations is influenced by various factors beyond our control, including individual effort, attitude, and external circumstances that can occur on each exam date.

 

By using the services of Stepping Stone Maths, you acknowledge and agree that we are not responsible or liable for a student's academic performance in examinations. Therefore, you waive any right to bring legal action against Stepping Stone Maths based on unsatisfactory academic results, including but not limited to failing to achieve desired grades in SATS, GCSE, A Level examinations.

 

We encourage all students to actively engage in their education, diligently follow our advice and guidance, and seek support and resources as needed to enhance their learning experience. While we provide a supportive educational environment, it is essential to understand that ultimate academic success depends on the student's commitment and dedication to their own learning.

 

By using our services, you consent to this non-liability clause and agree that Stepping Stone Maths shall not be held accountable for any academic outcomes or results in examinations.

 

By starting tuition with Stepping Stone Maths, you are agreeing to the above.

Tutor Code of Conduct:

The purpose and scope of behaviour code:

This behaviour code outlines the conduct that Stepping Stone Maths expects from all self-employed tutors. The behaviour code is there to help us protect children and young people from abuse. It has been informed by the views of children and young people. Stepping Stone Maths is responsible for making sure everyone taking part in our activities has seen, understood and agreed to follow the code of behaviour.

The role of tutors:

In your role at Stepping Stone Maths, you are acting in a position of trust and authority and have a duty of care towards the children and young people we work with. You are likely to be seen as a role model by young people and are expected to act appropriately. We expect people who take part in our services to display appropriate behaviour at all times. This includes behaviour that takes place online.

Responsibility of tutors:

You are responsible for:

• prioritising the welfare of children and young people

• providing a safe environment for children and young people, having good awareness of issues to do with safeguarding and child protection and taking action when appropriate.

• staying within the law at all times

• modelling good behaviour for children and young people to follow

 

Respecting children and young people

You should:

• listen to and respect children at all times

• value and take children’s contributions seriously

• respect a young person’s right to personal privacy as far as possible, if you need to break confidentiality in order to follow child protection procedures, it is important to explain this to the child or young person at the earliest opportunity.

 

Diversity and inclusion

You should:

• treat children and young people fairly and without prejudice or discrimination

• understand that children and young people are individuals with individual needs

• respect differences in gender, sexual orientation, culture, race, ethnicity, disability and religious belief systems, and appreciate that all participants bring something valuable and different

• challenge discrimination and prejudice

Appropriate relationships

You should:

• promote relationships that are based on openness, honesty, trust and respect

• avoid showing favouritism

• be patient with others

• ensure your contact with children and young people is appropriate and relevant to the nature of the activity you are involved in

 

Inappropriate behaviour

When working with children and young people, you must not:

• allow concerns or allegations to go unreported

• take unnecessary risks

• smoke, consume alcohol or use illegal substances

• develop inappropriate relationships with children and young people

• make inappropriate promises to children and young people

• engage in behaviour that is in any way abusive, including having any form of sexual contact with a child or young person

• let children and young people have your personal contact details (mobile number, postal address) or have contact with them via a personal social media account. If you tutor a child 16-18 years of age, communications will remain between tutor and parent. As a tutor you may copy in the child via email for homework purposes only. All questions and communications will remain between the tutor and parent.

• act in a way that can be perceived as threatening or intrusive

• patronise or belittle children and young people

• make sarcastic, insensitive, derogatory or sexually suggestive comments or gestures to or in front of children and young people.
